How to Use Apple Reminders Effectively

Master Apple Reminders with smart lists, location alerts, collaboration features, and automation to boost your productivity across all Apple devices.

  1. Set up smart lists for automatic organization. Open Reminders and tap the three-dot menu in the top right. Select 'Add List' then choose 'Smart List'. Create lists like 'Due Today' with conditions for due date equals today, or 'High Priority' filtered by flagged items. These lists automatically populate based on your criteria.
  2. Configure location-based reminders. When creating a reminder, tap the 'i' icon next to the task. Toggle on 'Remind me at a location' and choose 'When I arrive' or 'When I leave'. Search for or select a location from your contacts. Set the radius using the slider to determine how close you need to be for the alert.
  3. Use natural language input for faster entry. Type reminders using conversational phrases like 'Call dentist tomorrow at 2pm' or 'Buy groceries Friday morning'. Reminders automatically detects dates, times, and creates appropriate alerts. The app recognizes relative terms like 'next week', 'in 3 days', or 'this evening'.
  4. Enable collaboration and sharing. Open any list and tap 'Edit' in the top right. Select 'Share List' and choose contacts from your address book. Collaborators can add, edit, and complete tasks in real-time. Use this for household chores, project management, or shared grocery lists.
  5. Set up subtasks and dependencies. Create a main reminder, then tap it to open details. Press 'Add Subtask' to break complex projects into smaller steps. Each subtask can have its own due date, priority, and notes. Complete subtasks individually while tracking overall progress.
  6. Integrate with Siri and Shortcuts. Enable Siri access in Settings > Privacy & Security > Siri & Search > Reminders. Create voice commands like 'Add milk to my shopping list' or 'What's on my agenda today'. Build custom shortcuts in the Shortcuts app to automate reminder creation based on calendar events or location changes.
  7. Optimize notifications and badges. Go to Settings > Notifications > Reminders to customize alert styles. Enable 'Badge App Icon' to see overdue task counts. Set 'Alert Style' to banners for non-urgent reminders or alerts for critical tasks. Configure 'Time Sensitive' notifications for deadline-driven reminders.
