How to Use Apple Notes Effectively

Master Apple Notes with advanced features like scanning documents, creating checklists, organizing with folders, and syncing across devices for maximum productivity.

  1. Create a folder structure for organization. Open Notes and tap the folder icon in the top-left corner. Tap 'New Folder' and create categories like 'Work,' 'Personal,' 'Projects,' and 'Archive.' Move notes between folders by tapping 'Edit' in the notes list, selecting notes, then tapping 'Move To.' Use nested folders for deeper organization by tapping and holding a folder, then selecting 'New Folder.'
  2. Use document scanning for paperless workflow. In any note, tap the camera icon above the keyboard and select 'Scan Documents.' Hold your device over the document and wait for the yellow outline to appear, then tap the shutter button. The scan will auto-crop and enhance. Tap 'Continue Scanning' for multiple pages or 'Save' when finished. Scanned documents become searchable text automatically.
  3. Create interactive checklists and tables. Tap the checklist icon above the keyboard to create actionable todo items. Each line becomes a checkable item that you can tap to complete. For tables, tap the table icon and choose your grid size. Double-tap any cell to edit, and use the handles to add or remove rows and columns. Tables automatically resize to fit content.
  4. Add rich media and markup. Tap the camera icon to insert photos, videos, or sketches directly into notes. Use the markup tools by tapping any image and selecting the marker icon. Choose from highlighter, pen, pencil, or ruler tools. For handwritten notes, use Apple Pencil on supported devices or your finger to write directly in the note.
  5. Enable and use smart search features. Pull down from the top of the notes list to reveal the search bar. Search works across all text, including text within images and scanned documents. Use specific terms like 'checklist,' 'drawing,' or 'attachment' to filter by content type. Create smart folders by searching for specific tags — type '#project' in notes and search for that term later.
  6. Share and collaborate on notes. Tap the share icon in any note and select 'Add People.' Choose whether collaborators can make changes or only view the note. Add people via Messages, Mail, or by copying a link. Real-time collaboration shows colored cursors for each person editing. View collaboration history by tapping the people icon at the top of shared notes.
  7. Optimize sync and backup settings. Go to Settings > Notes and ensure 'Notes' is enabled under your Apple ID for iCloud sync. Choose which email accounts can create notes if you use multiple providers. Enable 'On My iPhone' account if you want local-only notes that don't sync. For better organization, set the default account for new notes created via Siri or other apps.
