How to Export a Spreadsheet as a Clean PDF
Learn the precise steps to export your Excel or Google Sheets data into a clean, professional PDF with correct page breaks and scaling.
- Define the print area. Select the exact cells you want to export. In Excel, navigate to the Page Layout tab, click Print Area, and select Set Print Area. In Google Sheets, highlight the range, go to File > Print, and select Selected Cells from the Print dropdown menu.
- Adjust page scaling. To prevent columns from being cut off, set your scaling to Fit All Columns on One Page. In Excel, find this under the Page Layout tab in the Scale to Fit group. In Google Sheets, adjust the Scale setting in the Print settings sidebar to Fit to Width.
- Set page orientation. Choose between Portrait or Landscape based on your data density. In Excel, use the Orientation button on the Page Layout tab. In Google Sheets, toggle this option within the Print settings menu on the right side of the screen.
- Toggle gridlines and headers. Determine if you want cell borders visible. In Excel, check the Print box under the Gridlines section in the Page Layout tab. In Google Sheets, uncheck Show Gridlines in the Formatting tab of the Print menu for a cleaner, document-style aesthetic.
- Save as PDF. For Excel, go to File > Export > Create PDF/XPS Document. In Google Sheets, click Next in the Print window, then choose Save as PDF from your system print dialog destination. Ensure the page range is set to All before finalizing.
