How to Use Webex for Video Calls

Complete guide to making and joining Webex video calls. Learn meeting controls, screen sharing, and audio settings for professional video conferencing.

  1. Download and install the Webex app. Visit webex.com and click Download. Run the installer and sign in with your email address. The desktop app provides better performance and features than the web browser version.
  2. Join a meeting using the meeting ID. Click the meeting link in your invitation email or open Webex and select Join a Meeting. Enter the 9-digit meeting number and your name. Click Join Meeting to enter the waiting room.
  3. Configure audio and video before joining. In the preview window, test your microphone and camera. Click the microphone icon to mute/unmute and the camera icon to turn video on/off. Select your preferred audio device from the dropdown menu next to the microphone button.
  4. Navigate the meeting interface. The control panel appears at the bottom of the screen. Key buttons include Mute (microphone icon), Stop Video (camera icon), Share Screen, and Participants. The chat panel opens on the right side when you click the chat icon.
  5. Share your screen or applications. Click Share Screen in the control panel. Choose to share your entire desktop, a specific application window, or a browser tab. Click the red Stop Sharing button or press Escape to end screen sharing.
  6. Manage participants and meeting controls. Click Participants to see attendee list and manage permissions. As a host, you can mute participants, assign presenter roles, and control meeting settings. Use the More Options button (three dots) to access recording, breakout rooms, and other advanced features.
  7. Record meetings and access recordings. Click Record in the control panel and select Record on this Computer or Record to the Cloud. Cloud recordings appear in your Webex account under Recordings within 24 hours. Local recordings save to your computer immediately after the meeting ends.
