How to Use Slack for Beginners

Learn Slack basics: join workspaces, navigate channels, send messages, and use essential features. Complete beginner's guide to workplace communication.

  1. Join your workspace and complete your profile. Click the invitation link from your team or enter your workspace URL at slack.com. Enter your email and create a password when prompted. Upload a profile photo by clicking your avatar in the top right, then select 'Edit profile' and 'Upload an image.' Add your display name, title, and phone number in the same menu.
  2. Navigate the sidebar and understand workspace layout. The left sidebar shows your channels, direct messages, and apps. Channels appear with # symbols, while direct messages show profile photos or green dots for online status. Click any channel or conversation to view it in the main panel. Use Ctrl+K (Cmd+K on Mac) to quickly search and jump to any channel or person.
  3. Send your first message in a channel. Click on a channel in the sidebar, then type your message in the text box at the bottom. Press Enter to send or Shift+Enter to add line breaks without sending. Use @username to mention specific people or @channel to notify everyone in the channel. Format text with *bold*, _italics_, or `code` using markdown-style syntax.
  4. Start direct messages and group conversations. Click the + icon next to 'Direct messages' in the sidebar, then type a teammate's name or email. For group messages, add multiple people by typing additional names separated by commas. Direct messages work identically to channels but remain private to invited participants only.
  5. Share files and use emoji reactions. Drag files directly into any conversation or click the paperclip icon next to the message box. Slack supports documents, images, videos, and most file types up to 1GB. React to messages by hovering over them and clicking the emoji icon, or type a colon followed by the emoji name like  in your message.
  6. Set your status and notification preferences. Click your profile photo and select 'Set a status' to show your availability or current activity. Go to Preferences > Notifications to control when you receive alerts. Set different notification schedules for workdays and weekends, and choose whether to receive notifications for direct messages, mentions, or all messages.
  7. Search for messages and join relevant channels. Use the search box at the top to find old messages, files, or conversations. Type 'in:#channel-name' to search within specific channels or 'from:@username' to find messages from particular people. Browse and join additional channels by clicking 'Channels' in the sidebar, then 'Browse channels' to see all available public channels.
