How to Scan Documents to a Computer
Scanning documents to your computer converts physical papers into digital files you can store, edit, and share. Most modern printers include scanning functionality, and the process works similarly across Windows and Mac systems.
- Connect your scanner to the computer. Use a USB cable to connect your scanner or all-in-one printer to your computer. For wireless scanners, ensure both devices are connected to the same Wi-Fi network. Windows will automatically detect most scanners, while Mac users can check System Preferences > Printers & Scanners to verify the connection.
- Place the document on the scanner bed. Lift the scanner lid and position your document face-down on the glass surface. Align the document with the corner guides, typically marked with arrows or lines. Close the lid gently to prevent the document from shifting during the scan.
- Open the scanning software. On Windows, open the Start menu and search for "Windows Fax and Scan" or use the manufacturer's software. On Mac, open "Image Capture" from Applications or use Preview > File > Import from Scanner. Many scanners also have dedicated software that launches automatically when connected.
- Select your scanner and scan settings. Choose your scanner from the device list if multiple options appear. Select the document type (photo, text document, or color/black and white). Set the resolution to 300 DPI for standard documents or 600 DPI for photos. Choose your preferred file format—PDF for documents, JPEG for photos.
- Preview and adjust the scan area. Click "Preview" to see how your document will appear. Most software displays a preview with adjustable borders. Drag the corners of the selection box to include only the document area, excluding the scanner bed background. This reduces file size and focuses on your content.
- Start the scan. Click "Scan" or "Start" to begin the scanning process. The scanner light will move across the document, and you'll see progress indicators in the software. Avoid moving the scanner or opening the lid during this process to prevent image distortion.
- Save the scanned document. After scanning completes, choose your save location and filename. Select an appropriate file format—PDF for multi-page documents, JPEG for photos, or PNG for images requiring transparency. Click "Save" to store the file on your computer.
