How to Set Up Email Forwarding Rules
Learn to create automatic email forwarding rules in Gmail, Outlook, and Apple Mail. Set up filters to forward messages by sender, subject, or keywords.
- Choose your email client and access settings. Open your email application. In Gmail, click the gear icon and select 'See all settings.' In Outlook, go to File > Manage Rules & Alerts. In Apple Mail, select Mail > Preferences from the menu bar. The location of forwarding options varies by provider, but all major clients support this feature.
- Navigate to forwarding or rules section. In Gmail, click the 'Forwarding and POP/IMAP' tab, then 'Add a forwarding address.' In Outlook, click 'New Rule' in the Rules and Alerts dialog. In Apple Mail, click the 'Rules' tab in Preferences. Each client organizes these features differently, but they're typically found in account or mail settings.
- Set up the forwarding destination. Enter the email address where you want messages forwarded. Gmail requires you to verify the forwarding address by clicking a confirmation link sent to that email. Outlook and Apple Mail allow you to enter addresses directly. Use the exact email address format without spaces or extra characters.
- Define forwarding conditions. Specify when emails should be forwarded. Choose conditions like sender address, subject line keywords, or message content. In Gmail, use the 'Filters and Blocked Addresses' tab to create detailed rules. In Outlook, select from the condition dropdown menu. Be specific with your criteria to avoid forwarding unwanted messages.
- Configure additional actions. Decide what happens to the original message after forwarding. Choose to keep a copy in your inbox, archive it, or delete it entirely. Most clients also let you add labels or move messages to specific folders. In Gmail, these options appear in the filter creation dialog.
- Test the forwarding rule. Send a test email that matches your forwarding criteria to verify the rule works correctly. Check both your original inbox and the forwarding destination. If the rule doesn't trigger, review your conditions for typos or logic errors. Test different scenarios to ensure the rule behaves as expected.
- Save and activate the rule. Click 'Create Filter' in Gmail, 'OK' in Outlook, or 'Save' in Apple Mail to activate your forwarding rule. The rule begins processing immediately for new incoming messages. Some clients allow you to apply rules retroactively to existing messages in your inbox.
