How to Set Up Email Aliases

Learn to create email aliases for Gmail, Outlook, and Apple Mail. Forward multiple addresses to one inbox with step-by-step instructions.

  1. Choose your email provider's alias method. Gmail uses the plus sign method ([email protected]) or custom domains. Outlook.com offers true aliases through account settings. Apple iCloud provides alias creation in Mail settings. Each service handles aliases differently, so identify your provider first.
  2. Access your email account settings. For Gmail, open Gmail > Settings > Accounts and Import. For Outlook.com, sign in > click your profile picture > My Microsoft Account > Your Info. For Apple iCloud, go to icloud.com > Mail > Preferences > Accounts.
  3. Create the alias. In Gmail, add the plus sign version directly to forms or create filters for automatic organization. In Outlook.com, click 'Add alias' under 'Manage how you sign in to Microsoft.' In iCloud Mail, select 'Add an alias' and choose from available options.
  4. Configure forwarding rules. Set up filters to automatically sort emails sent to your aliases. In Gmail, use Filters and Blocked Addresses. In Outlook, create Rules from Settings > Mail > Rules. In iCloud, aliases automatically appear in the same inbox.
  5. Test the alias functionality. Send a test email to your new alias from another email account. Verify it arrives in your main inbox or designated folder. Check that replies from your alias show the correct sender address.
  6. Set up mobile access. Configure your phone's email app to send from aliases. In iOS Mail, tap the From field when composing to select aliases. In Android Gmail, ensure sync is enabled for your account to access all aliases.
