How to Fix a Printer That Won't Print

A printer that refuses to print is one of the most common tech frustrations. Most printing failures stem from simple connection issues, driver problems, or queue blockages that you can resolve in minutes.

  1. Check the power and connections. Verify the printer power light is on and solid, not blinking. Ensure the USB cable is firmly connected to both the printer and computer, or confirm Wi-Fi connectivity by checking the printer's network settings display. For wireless printers, print a network configuration page from the printer's menu to verify connection status.
  2. Clear the print queue. Open Settings > Devices > Printers & scanners on Windows, or System Preferences > Printers & Scanners on Mac. Select your printer and click 'Open queue' or 'Open Print Queue'. Cancel all pending jobs by selecting them and clicking the X or Delete button. Restart the print spooler service on Windows by typing 'services.msc' in Run dialog and restarting 'Print Spooler'.
  3. Verify ink and paper levels. Check ink or toner cartridge levels through your printer's display panel or software utility. Replace any empty or critically low cartridges. Ensure paper is loaded correctly in the tray with guides snug against the paper edges. Remove any jammed paper by following your printer's jam clearing procedure.
  4. Set the correct default printer. Navigate to Settings > Devices > Printers & scanners on Windows or System Preferences > Printers & Scanners on Mac. Locate your printer in the list and click 'Manage' then 'Set as default' on Windows, or select it and choose 'Default printer' dropdown on Mac. Ensure no other printer is marked as default.
  5. Update or reinstall printer drivers. Download the latest drivers from your printer manufacturer's website using your exact printer model number. Uninstall the current printer driver through Device Manager on Windows or by removing the printer in System Preferences on Mac. Install the fresh driver package and add the printer again through your system's printer settings.
  6. Run printer troubleshooter. On Windows, go to Settings > Update & Security > Troubleshoot > Additional troubleshooters > Printer. Run the automated troubleshooter and follow its recommendations. On Mac, reset the printing system by right-clicking in the printer list while holding Command+Option keys, then re-add your printer.
  7. Test with a simple document. Create a new text document with just a few words and attempt to print it. This eliminates complex formatting or large file sizes as potential causes. If the test page prints successfully, the issue lies with your original document or application, not the printer hardware or drivers.
