How to Digitally Organize Device Receipts and Serial Numbers

Securely archive your tech receipts and serial numbers for warranty claims and insurance using a centralized, searchable digital system.

  1. Create a centralized directory structure. Establish a folder within your encrypted cloud storage provider named 'Device Archives'. Inside this folder, create subdirectories categorized by device type, such as 'Computers', 'Mobile', and 'Audio'.
  2. Digitize physical receipts and documents. Use the built-in document scanner in your mobile Notes app to capture high-resolution PDFs of paper receipts. Save these directly into the corresponding subfolder using the 'Save to Files' action.
  3. Create a master serial number spreadsheet. Open a spreadsheet application and create columns for Device Name, Serial Number, Purchase Date, Warranty Expiration, and Receipt Link. Input the data for each device you currently own.
  4. Locate unique identifiers on devices. Navigate to Settings > General > About on your mobile devices to copy the Serial Number and IMEI. For computers, use the 'About This Mac' or system information utility to retrieve hardware identifiers.
  5. Enable multi-factor authentication on storage. Because your cloud storage contains sensitive purchase data, ensure that Two-Factor Authentication (2FA) is enabled on your cloud provider account. Verify that the folder permissions are set to private and are not shared with public links.
