How to Fix a Printer Offline on Mac

When your Mac shows a printer as offline, it can't communicate with the device even though the printer appears to be working normally. This common issue stems from network connectivity problems, driver conflicts, or system glitches that interrupt the connection between your Mac and printer.

  1. Check printer power and connections. Verify the printer is powered on and all cables are securely connected. For wireless printers, confirm the Wi-Fi indicator shows a stable connection. For USB printers, disconnect and reconnect the cable to both the printer and Mac.
  2. Reset the printing system. Open System Preferences > Printers & Scanners. Right-click in the printer list area and select Reset printing system. Enter your admin password when prompted. This removes all printers and requires you to add them back, but clears any corrupted settings.
  3. Re-add your printer. Click the + button below the printer list in Printers & Scanners preferences. Your Mac will scan for available printers. Select your printer from the list and click Add. macOS will automatically download and install the appropriate drivers.
  4. Update printer drivers. Open App Store and click Updates to check for printer driver updates. For HP, Canon, or Epson printers, visit the manufacturer's website to download the latest macOS-compatible drivers. Install any available updates and restart your Mac.
  5. Clear print queue and restart services. Open Terminal and run 'sudo launchctl stop org.cups.cupsd' followed by 'sudo launchctl start org.cups.cupsd'. Enter your password when prompted. This restarts the print service and clears any stuck print jobs that might cause offline status.
  6. Verify network settings for wireless printers. Ensure your Mac and printer are on the same Wi-Fi network. In System Preferences > Network, note your Wi-Fi network name. Check your printer's network settings menu to confirm it's connected to the same network. If networks don't match, reconnect the printer to the correct Wi-Fi.
