How to Fix a Printer That Won't Print
Step-by-step guide to troubleshoot and fix common printer problems when your printer refuses to print documents or photos.
- Check power and connections. Verify the printer power light is on and solid, not blinking. Check that the USB cable or network cable is securely connected to both the printer and computer. For wireless printers, confirm the WiFi indicator shows a stable connection.
- Clear the print queue. Open Settings > Devices > Printers & scanners on Windows, or System Preferences > Printers & Scanners on macOS. Select your printer and click "Open queue" or "Open Print Queue." Cancel all pending print jobs and try printing a test page.
- Check ink and paper levels. Open the printer cover and inspect ink or toner cartridges for empty or low levels. Replace any depleted cartridges with genuine replacements. Verify paper is properly loaded in the tray without jamming or overfilling.
- Update or reinstall printer drivers. Download the latest drivers from the printer manufacturer's website. Uninstall the current printer from your system settings, restart your computer, then install the fresh drivers. Add the printer back through your operating system's printer setup.
- Run printer diagnostics. Access your printer's built-in diagnostics through its LCD panel or web interface. Run print head cleaning, alignment tests, and nozzle checks. Print a test page directly from the printer without using your computer to isolate hardware issues.
- Reset network settings for wireless printers. Navigate to your printer's network settings menu and select "Reset Network Settings" or "Factory Reset Network." Reconnect to your WiFi network using the correct password. Ensure your computer and printer are on the same network.
- Perform a factory reset. If other solutions fail, reset your printer to factory defaults through the settings menu or by holding the reset button for 10-15 seconds. Reconfigure all settings including network connection, paper size, and print quality preferences.
