Zapier AI Actions let you add artificial intelligence to your automated workflows, enabling tasks like content summarization, text generation, and smart decision-making. These AI-powered steps can transform how your Zaps handle data and respond to different scenarios.

  1. Create a new Zap and add your trigger. Log into Zapier and click Create Zap. Choose your trigger app and event as usual. For example, select Gmail as your trigger when you receive a new email with a specific label. Test your trigger to ensure it captures the data you need.
  2. Add an AI Action step to your workflow. Click the plus icon to add a new step. Search for and select AI by Zapier from the app list. Choose the AI action that matches your goal: Summarize for condensing content, Generate for creating new text, or Answer Questions for extracting specific information.
  3. Configure your AI prompt with specific instructions. In the Input Text field, map data from your trigger using the data picker. Write a clear, detailed prompt in the Prompt field that tells the AI exactly what to do. For example: 'Summarize this email in 2-3 bullet points focusing on action items and deadlines.' Be specific about format, tone, and length requirements.
  4. Set advanced AI parameters for better results. Adjust the Temperature setting between 0-1 to control creativity. Use 0.1-0.3 for factual, consistent outputs like summaries. Use 0.7-1.0 for creative tasks like marketing copy. Set Max Tokens to control response length - typically 100-500 tokens for most business tasks.
  5. Test your AI action with real data. Click Test step to run your AI action with sample data from your trigger. Review the AI-generated output carefully for accuracy, tone, and format. If the output doesn't meet your needs, refine your prompt and test again until you get consistent, high-quality results.
  6. Add follow-up actions using AI output. Create additional steps that use your AI action's output. Map the AI-generated text to other apps like sending an email with the summary, posting to Slack, or saving to a Google Doc. Use the data picker to select 'Output' from your AI action step.
  7. Publish and monitor your AI-powered Zap. Name your Zap descriptively, including 'AI' in the title for easy identification. Click Publish to activate your workflow. Monitor the Zap History regularly to ensure AI actions are performing as expected and producing quality outputs consistently.
