How to Use Gemini in Gmail

Gemini integrates directly into Gmail to help you write, edit, and manage emails using AI assistance. This feature is available to Google Workspace users and personal Google accounts with Gemini access.

  1. Enable Gemini in your Google account. Open Gmail and click your profile picture in the top right corner. Select Settings from the dropdown menu, then navigate to the General tab. Scroll down to find the Gemini section and toggle on 'Help me write' if it's not already enabled.
  2. Start a new email composition. Click the Compose button in Gmail to open a new email window. You'll see a small Gemini sparkle icon appear in the compose window, typically near the formatting toolbar or in the message body area.
  3. Access the Help me write feature. Click the Gemini sparkle icon or press Ctrl+H (Cmd+H on Mac) to open the AI writing assistant. A prompt box will appear where you can describe what you want to write or ask Gemini to help with your email content.
  4. Write your prompt. Type a clear description of the email you want to create. For example, 'Write a professional follow-up email about yesterday's project meeting' or 'Draft a thank you note for the interview.' Be specific about tone, length, and key points you want included.
  5. Review and refine the generated content. Gemini will generate email content based on your prompt. Read through the suggestion and click 'Insert' to add it to your email, or click 'Refine' to adjust the tone, make it longer or shorter, or regenerate with different parameters.
  6. Edit and personalize the draft. After inserting the AI-generated content, edit it to match your personal voice and add any specific details Gemini couldn't know. You can continue to use Gemini to help refine specific paragraphs by selecting text and using the sparkle icon again.
  7. Use Gemini for email management. Beyond writing, click the Gemini icon in your inbox to get help summarizing long email threads, suggesting responses to received emails, or organizing your inbox. You can ask questions like 'Summarize this conversation' or 'Help me respond to this email professionally.'
