How to Fix a Printer Showing Offline on Windows

When your printer shows as offline in Windows, it means your computer cannot communicate with the printer properly. This prevents any print jobs from processing until the connection is restored.

  1. Check physical connections and power. Verify your printer is powered on and all cables are securely connected. For USB printers, unplug the USB cable and reconnect it firmly to both the printer and computer. For wireless printers, ensure the Wi-Fi indicator light shows a stable connection.
  2. Turn off Use Printer Offline mode. Open Settings > Devices > Printers & scanners. Click your printer name, then click Open queue. In the print queue window, click Printer in the menu bar. If Use Printer Offline has a checkmark, click it to disable offline mode.
  3. Restart the Print Spooler service. Press Windows key + R, type services.msc, and press Enter. Scroll down to Print Spooler, right-click it, and select Restart. Wait for the service to stop and start again, then close the Services window.
  4. Run the printer troubleshooter. Open Settings > Update & Security > Troubleshoot > Additional troubleshooters. Click Printer, then Run the troubleshooter. Follow the on-screen prompts to let Windows automatically detect and fix printer connection issues.
  5. Remove and reinstall the printer. Go to Settings > Devices > Printers & scanners. Click your printer name and select Remove device. After removal completes, click Add a printer or scanner at the top. Windows will search for available printers and display your printer for reinstallation.
  6. Update or reinstall printer drivers. Right-click the Start button and select Device Manager. Expand Printers or Print queues, right-click your printer, and select Update driver. Choose Search automatically for drivers. If no updates are found, select Uninstall device, then restart your computer to trigger automatic driver reinstallation.
