Providing Design Feedback with Preview Markup

Learn to use macOS Preview to provide precise design feedback using built-in annotation tools, shapes, and text boxes for professional collaboration.

  1. Open the document in Preview. Locate your design asset in Finder. Right-click the file, select Open With, and choose Preview.app from the list.
  2. Enable the Markup Toolbar. Click the Markup button in the toolbar, located to the left of the search field. If the button is not visible, select View in the menu bar and click Show Markup Toolbar.
  3. Apply visual feedback shapes. Select the Shapes tool from the toolbar to add rectangles or circles around design elements requiring change. Use the Border Color and Fill Color icons to customize the appearance for better visibility.
  4. Insert specific feedback text. Select the Text tool to create a text box near your markup. Type clear, concise instructions for the designer, then drag the text box to your desired position on the canvas.
  5. Review and finalize annotations. Review the document for clarity. To move an annotation, click it once to reveal the selection handles and drag it to a new location. To delete an error, select the item and press the Delete key.
  6. Save the annotated version. Press Command + S to save your changes to the current file. Alternatively, select File > Export to save a separate version as a flattened PNG or PDF to ensure the designer receives the feedback without the ability to move existing shapes.
