How to use Gemini with Google Workspace

Learn to integrate and use Gemini AI across Gmail, Docs, Sheets, and other Google Workspace apps to boost productivity with smart features.

  1. Enable Gemini for Google Workspace. Navigate to admin.google.com and sign in with your admin account. Go to Apps > Google Workspace > Settings for Gmail and enable the Gemini feature toggle. This activates Gemini across all Workspace applications for your organization.
  2. Access Gemini in Gmail. Open Gmail and look for the Gemini icon in the right sidebar. Click the star-shaped icon to open the Gemini panel. You can now ask questions about your emails, request summaries of long email threads, or get help drafting responses.
  3. Generate content in Google Docs. Open a Google Doc and click the Gemini icon in the toolbar or press Ctrl+Alt+G. Type prompts like 'Write a project proposal outline' or 'Create a meeting agenda for quarterly review.' Gemini will generate content directly in your document that you can edit and refine.
  4. Analyze data in Google Sheets. Open Google Sheets with your data and activate Gemini from the sidebar. Ask questions like 'What are the top 5 performing products this quarter?' or 'Create a chart showing sales trends.' Gemini will analyze your data and can generate formulas, charts, or written insights.
  5. Create presentations in Google Slides. Start a new presentation and click the Gemini icon. Request slide content by describing your topic and audience. For example, 'Create 5 slides about cybersecurity best practices for small businesses.' Gemini will generate slide layouts, content, and even suggest relevant images.
  6. Manage tasks with Gemini insights. Use Gemini across multiple Workspace apps to streamline workflows. In Gmail, ask it to summarize action items from email threads. In Calendar, request meeting preparation notes. In Drive, ask for file organization suggestions based on your folder structure.
  7. Refine and iterate with Gemini. After Gemini generates content, use follow-up commands to improve results. Type 'make this more formal,' 'shorten by 50%,' or 'add technical details about security protocols.' Gemini remembers the context of your current session and adjusts accordingly.
