How to Use Zapier for Beginners

Learn to automate tasks with Zapier. Set up your first Zap, connect apps, and create workflows that save time. Complete beginner's guide with step-by-step instructions.

  1. Create your Zapier account. Go to zapier.com and click "Sign up free". Enter your email address and create a password, or sign up using your Google or Microsoft account. Zapier will send a verification email to confirm your account.
  2. Choose your trigger app. Click "Create Zap" from your dashboard. Search for and select the app that will start your automation. For your first Zap, try Gmail, Google Sheets, or another app you use daily. Click on the app name to select it.
  3. Select your trigger event. Choose what specific event in your trigger app will start the automation. For Gmail, select "New Email" or "New Attachment". For Google Sheets, choose "New Spreadsheet Row". Click "Continue" after selecting your trigger event.
  4. Connect your trigger account. Click "Sign in to [App Name]" and enter your login credentials. Grant Zapier permission to access your account when prompted. Zapier uses OAuth authentication, so your password stays secure with the original app.
  5. Test your trigger. Click "Test trigger" to verify Zapier can access your data. Zapier will pull recent items from your connected app — like your latest emails or spreadsheet rows. Review the sample data and click "Continue with selected record".
  6. Choose your action app. Search for and select the app where you want something to happen. Popular action apps include Slack, Google Drive, Trello, or Airtable. Click on your chosen app to select it as your action.
  7. Configure your action. Select what action to perform, like "Create File" in Google Drive or "Send Message" in Slack. Connect your action app account using the same process as step 4. Fill in the required fields, using data from your trigger by clicking the insert icon and selecting trigger fields.
  8. Test and publish your Zap. Click "Test step" to run your action with the sample data. Verify the action worked correctly in your destination app. If successful, click "Publish Zap" to turn on your automation. Your Zap will now run automatically when the trigger conditions are met.
