How to Use Airtable Automations
Learn to create and configure Airtable automations to streamline workflows. Step-by-step guide covering triggers, actions, and automation setup.
- Access the automations panel. Click the Automations tab at the top of your base interface, next to the Views and Forms tabs. If you don't see this tab, ensure you have Creator or Owner permissions for the base. The automations panel will open on the right side of your screen.
- Create a new automation. Click the blue "Create automation" button or select "+ Add automation" if you already have existing automations. Choose "Start from scratch" to build a custom automation, or select a pre-built template from the gallery for common workflows like sending welcome emails or updating project statuses.
- Configure the trigger. Select your trigger type from the dropdown menu. Choose "When record enters view" for view-based triggers, "When record matches conditions" for field-specific changes, or "At a scheduled time" for time-based automations. Configure the specific conditions by selecting the table, view, or fields that will activate the automation.
- Add and configure actions. Click "+ Add action" below your trigger configuration. Select the action type such as "Update record," "Send email," "Create record," or "Run script." Configure the action by mapping fields from your trigger record to the action parameters. Use the dynamic field picker to insert values from the triggering record.
- Test the automation. Click "Test automation" in the top-right corner of the automation configuration panel. Airtable will simulate the trigger and show you exactly what actions would be performed. Review the test results to ensure your automation behaves as expected before activating it.
- Activate and monitor the automation. Toggle the automation switch to "On" in the top-right corner once testing is complete. Monitor your automation's performance in the "Run history" tab, which shows each execution, success status, and any error messages. Review the activity log regularly to catch issues early.
